Responsibilities
Budget Management
- Planning and Allocation: Develop, consolidate, and allocate the annual legal budget. Coordinate with department heads to understand budgetary needs and constraints.
- Expense Tracking and Analysis: Track, analyze, and forecast legal expenses to ensure adherence to the budget and identify cost-saving opportunities. Generate regular financial reports detailing budget performance and variances.
- Collaboration: Work with the finance team to ensure alignment on budgetary matters, financial reporting and any necessary adjustments
Vendor Management
- Purchase Requisitions: Handle purchase requisitions in ERP system, ensuring compliance with internal procedures and policies.
- Contract Management: Negotiate and manage contracts with external legal service providers.
- Vendor Onboarding: Oversee the onboarding of new vendors and ensure compliance with company policies and guidelines.
- Billing: Work with external law firms and vendors to resolve billing discrepancies and improve billing processes.
Process Management
- Efficiency Improvement: Identify inefficiencies in current legal processes and recommend improvements.
- Implementation: Implement streamlined processes to enhance productivity, efficiency, and compliance.
- Monitoring: Monitor and evaluate the effectiveness of process improvements.
Knowledge Management
- System Maintenance: Maintain and update legal knowledge management systems with current documentation and information.
- Resource Development: Develop and maintain user-friendly templates, forms, and documents to facilitate legal operations.
- Access and Accuracy: Ensure the legal team has easy access to accurate and up-to-date resources and guidelines.
- Best Practices: Promote best practices for knowledge sharing within the legal department.
Legal People & Culture
- Team Culture: Foster a positive and collaborative culture within the legal team through events and team-building activities.
- Training Programs: Organize training and development programs for the legal team.
- Employee Engagement: Support initiatives to enhance employee engagement and professional growth.
Qualifications
- Bachelor’s or Master’s degree in Legal, Finance, Business Administration, or a related field.
- Experience in a legal operations role or a similar operational capacity.
- Excellent English communication and collaboration skills (B2 or higher).
- Strong knowledge of financial planning, budgeting, and forecasting.
- Understanding of legal principles, practices, and terminology.
- Familiarity with enterprise resource planning systems (e.g., NetSuite, SAP, Oracle).
- Experience with legal technology software and tools (e.g., contract management systems, e-billing platforms, document automation tools, legal analytics tools).
- Proficiency in Excel and other data analysis tools.
- Analytical Thinking: Apply logical reasoning and critical thinking to analyze legal issues and make informed decisions.
- Attention to Detail: Maintain a high level of accuracy in managing legal documentation and processes.
- Multitasking: Manage multiple projects and tasks efficiently.
- Collaboration: Work effectively with cross-functional teams and stakeholders.
- Communication: Excel in verbal and written communication for effective collaboration.
- Problem-Solving: Demonstrate strong problem-solving abilities.
