Junior Operations Specialist

We are looking for a Operations Specialist, will be responsible for supporting day-to-day office operations and ensuring that all office-related matters run smoothly. This role is a great opportunity to gain hands-on experience in operational processes while contributing to a productive and well-organized work environment.

Responsibilities

  • Create and distribute keys to access office spaces;
  • Check and process transfer documents reports, ensuring they are signed by employees and uploaded to the relevant spreadsheet;
  • Prepare and update spreadsheets for broken equipment, coordinating repair and maintenance as necessary;
  • Prepare and maintain the database of equipment assigned to employees;
  • Update the database with new information as equipment is issued or returned;
  • Operations Support Assist with various operational tasks as directed by the Operations team;
  • Communicate with suppliers on behalf of the Operations team;
  • Provide general office support to ensure the smooth operation of the office environment:
  • Manage sending and receiving packages;
  • Distribute materials to recruiters/agents as required;
  • Administer packages, ensuring proper tracking and distribution;
  • Register new employees and guests from HQ, ensuring proper documentation and access are provided;
  • Handle laptop deliveries to employees and maintain records of distributions;
  • Snack Administration, (inventory and distribution within the office);
  • Meet new employees and guests, providing them with necessary information and assistance;
  • Address other specific needs of the office, ensuring a welcoming and efficient environment for all staff and visitors.
  • Ensure that office spaces are well maintained and that the IT infrastructure is reliable;
  • Facilitate a work environment where employees can focus on their core responsibilities without unnecessary distractions. 

Qualifications

  • Bachelor’s degree in administrative, or similar background.
  • Strong project management skills, with the ability to plan, execute, and track multiple initiatives simultaneously while ensuring timely delivery and impact.
  • Advanced MS Excel skills is a must.
  • Self-motivated and proactive mindset, with a structured approach to problem-solving.
  • Experience in ride-hailing, logistics, or mobility operations is a plus.
  • Advanced English proficiency (C1 level or higher).
  • This role need strong organizational skills, attention to detail, and the ability to manage multiple tasks at same time.
  • As a plus, knowledge of Health and Safety.
