Reporting into the Talent Acquisition Operations Manager, the TA Operations Specialist is dedicated to identifying, through data, the opportunities for performance improvements within all of Talent Acquisition, with partner organisations within inDrive, with external partner organisations, and facilitates and supports improvement projects across TA, PnC and the business. The TA Operations Specialist works closely across TA, PnC leadership and People Insight team to make TA better!
Facilitate communication, negotiations and onboarding of external partners supporting TA, Onboarding and Employer Branding teams
Oversee contracting processes to ensure compliance, efficiency and alignment with organisational policies
Process and track invoice payments through the financial system in collaboration with Finance and Procurement teams
Monitor and report expenditures associated with recruitment agencies and external vendors
Administer and coordinate the Employee Referral Program: collect data, track referrals, prepare reports, distribute rewards
Coordinate service-provider onboarding and payment processes through RemotePass
Support projects within TA operations: e.g.,automation of reporting, process redesign, tool integrations or system enhancements
Maintain up-to-date process maps, SOPs and documentation, assist in ensuring data integrity and compliance with internal and external standards
Provide operational and administrative support to the TA team
TA Reporting:
In cooperation with People Insight team conduct recruitment process analysis, collect, clean and analyse data from ATS / HRIS / survey results / other systems; build reports and dashboards to monitor key TA metrics
Together with People Insights team, identify patterns, trends and insights in recruitment data, propose and support implementation of process improvements and optimisations
Use and continually improve internal TA dashboards and ensure accuracy of business and function dashboards
Establish and maintain cadence of TA reporting (MB/Top Manager/PnC reports etc) and provide support to adhoc reporting requirements.
Skills, Knowledge & Expertise
Min 4 years of experience in recruitment, recruitment Operations, or HR operations
Solid understanding of recruitment processes and workflows, as well as vendor management, contracting, invoicing, and procurement coordination
Strong analytical and reporting skills – ability to collect, clean, and interpret data, build dashboards, and identify actionable insights
Proficiency in Excel / Google Sheets, experience with data visualisation tools (e.g. Power BI, Tableau) is an advantage.
Excellent organisational and multitasking skills, capable of managing multiple priorities and stakeholders across teams (TA, Finance, Procurement)
Hands-on experience working with ATS / HRIS systems and managing recruitment data or reports
Detail-oriented, proactive, and process-driven, passionate about improving efficiency and quality in recruitment operations
Fluent English communication skills, both written and verbal
